About Lotusland:   
Ganna Walska Lotusland is a 37-acre botanical garden and historic estate located in Montecito featuring a collection of over 3,000 plant species from around the world as well as historically significant Spanish Colonial Revival architecture.  Since opening to the public in 1993, Ganna Walska Lotusland has grown to become one of the world’s premier botanical gardens and a center for sustainable garden practices, horticultural education, and plant conservation.

Position Summary:
The Volunteer & Visitor Services Coordinator is responsible for coordinating volunteer programs and supporting the overall visitor experience at Lotusland. This role ensures exceptional guest service through effective volunteer engagement, visitor support, and administrative assistance for educational programs. The ideal candidate is highly organized, people-oriented, and committed to creating a welcoming and inclusive environment for all visitors

Key Responsibilities
Visitor Services Support
  • Collaborate with Visitor Services team to ensure a seamless and positive guest experience.
  • Support the Visitor Service & Volunteer Manager with staff scheduling for front line Visitor Services Associates & Garden Shop.
  • Crosstrain in a variety of Visitor Services roles with the ability to provide backup support (Garden Monitor, Kiosk, Garden Shop & Front Desk).
  • Provide general administrative support to the Visitor Services Department.
  • Assist with visitor feedback collection and reporting.

Volunteer Program Coordination
  • Support the Volunteer program: including recruitment, orientation, training, and evaluation of all garden volunteers in all roles.
  • Coordinate scheduling and communications for all volunteers, ensuring shifts are filled, and volunteers have the information needed to complete their shifts.  
  • Maintain accurate volunteer records, hours, and contact information.
  • Work with the Events team to plan and execute volunteer appreciation events.
  • Foster and train all volunteers to support a welcoming, inclusive, and respectful culture in the Garden.
  • Administer and enforce the Volunteer “Code of Conduct” and Volunteer Handbook

Education Support
  • Coordinate Lotusland’s Jr. Botanist program (4th Grade Field Trips) including scheduling, materials preparation, data collection and acting as the primary liaison for Lotusland’s contracted educators through Explore Ecology and for the teachers.
  • Coordinate other education group tours, especially college and university programs.

Administrative Duties
  • Respond promptly to inquiries from schools, community groups, and prospective volunteers.
  • Maintain databases and generate reports on volunteer activity, guest experience, and educational impact.
  • Maintain databases and generate reports on volunteer activity, guest experience, and educational impact, while managing accurate record-keeping, data entry, and organized correspondence for the Education Department.
  • Organize and inventory materials and supplies for Volunteers, Visitor Services, and Educational programs.

Team Collaboration

  • Works closely with the Visitor Services & Volunteer Manager and other department leads to support the evolving program development and guest experience goals.
  • Provide support for cross-departmental programs and events.
  • Participate in staff meetings, training sessions, and planning sessions.

Qualifications & Experience
  • Bachelor’s degree in education, museum studies, environmental studies, public horticulture, hospitality. or a related field.
  • 1–2 years of experience in volunteer coordination, program coordination, project management and/or other experience and education to demonstrate complex program execution abilities.
  • 1-2 years of experience in complex scheduling.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency with Microsoft Office and database software and/or volunteer management software.
  • Ability to work independently and collaboratively.
  • Comfortable working outdoors and in a public-facing role.

Work Environment:    
  • Lotusland’s administrative offices are on a historic 2-story estate in a 37-acre garden.    
  • Frequent sitting and standing, walking, bending, and climbing stairs with occasional lifting of light loads (25 lbs.)   
  • Requires working outside at times and the ability to comfortably move around the garden.    
  • Frequent work on the telephone and computer (repetitive movement – typing)    
  • Frequent standing, sitting, walking, climbing stairs and bending with occasional lifting of light to moderate loads (25 lbs.)    
  • Occasional driving of company electric golf carts.
